Privacy Policy
Effective date: October 18, 2026
This Privacy Policy explains what information The Grand Venue Events ("we," "us") collects when you visit our website, submit our inquiry form, book a tour, call, text, or email us, and how we use it. We run a small, family-owned venue and only collect what we need to answer your questions and plan your event.
1. Information we collect
- What you give us: name, email address, phone number, preferred language, event type, event date, guest count, and anything you write in a message or form.
- Tour bookings: the date and time you choose, plus your name, email, and phone number.
- Phone calls: when you call, our AI phone assistant (Abby) may record the call and keep a transcript. If you give your name, email, or phone number on a call, we may save it to your contact record.
- Texts and emails: the messages you send us and our replies, and whether our emails were delivered, opened, or clicked.
- Website data: basic technical information such as device type, browser, pages visited, and approximate location from your IP address, collected through cookies and similar tools.
We do not collect payment card numbers through our website or inquiry form, and we do not ask for Social Security numbers or other government ID numbers.
2. How we use it
- Reply to your inquiry and send the information you asked for.
- Check availability, schedule tours, and send tour confirmations and reminders.
- Prepare proposals and contracts, and plan and run your event.
- Follow up about your inquiry by email or text, if you agreed to texts.
- Send planning emails and occasional updates. You can unsubscribe at any time.
- Improve our website, our phone assistant, and our service, and protect against spam and fraud.
- Meet legal and accounting requirements.
3. Who we share it with
We do not sell your personal information. We share it only with service providers that help us operate, under their own privacy and security commitments:
- Our customer management and communications platform (GoHighLevel), which stores contacts, sends emails and texts, runs scheduling, and powers our phone assistant.
- Our website host and design tools.
- Email and text delivery services used by that platform.
- Google tools we use to manage our booked-dates calendar. Event dates are tracked there; we do not put client names in the date lookup used by our phone assistant.
- Bot-protection services (such as Cloudflare Turnstile) that keep spam out of our forms.
- Accounting and invoicing software.
- Professional advisors, or authorities when the law requires it.
We don't share your information with third parties for their own marketing. We also don't share mobile phone numbers or text-message opt-in consent with third parties or affiliates for marketing or promotional purposes.
4. AI phone assistant and call recording
When you call us, you may speak with Abby, an AI assistant. Abby can answer questions, check dates, and book tours. Calls may be recorded and transcribed so we can follow up with you, confirm what was said, and improve the service. Because California requires everyone on a recorded call to be told, Abby will tell you at the start of the call that it may be recorded. If you don't want to be recorded, end the call and email us instead, or use our inquiry form. Recordings and transcripts are kept only as long as we need them for the purposes above.
5. Text messages (SMS)
If you check the text-message box on our form, give us your number during a call and ask for texts, or text us first, you agree to receive texts from The Grand Venue about your inquiry, tours, and event planning, which may be sent using automated technology.
- Consent is not a condition of any purchase, booking, or tour.
- Message frequency varies. Message and data rates may apply.
- Reply STOP at any time to opt out. Reply HELP for help. After you opt out we may send one last message to confirm.
- Mobile information and text-messaging opt-in data and consent will not be shared with third parties or affiliates for marketing or promotional purposes.
6. Cookies and tracking
Our website and booking tools may use cookies and similar technologies to make the site work, remember your settings, and understand how the site is used. Our emails may use link tracking to see which links are clicked. You can control cookies in your browser settings. We do not respond to "Do Not Track" signals.
7. How long we keep it
We keep inquiry and contact records while you are an active prospect or client and for a reasonable period afterward for business, tax, and legal reasons. Event and contract records are kept as long as needed for accounting and legal purposes. You can ask us to delete your information (see section 9).
8. Security
We use reasonable safeguards, including access limits and trusted platforms, to protect your information. No method of transmission or storage is completely secure, so we can't guarantee absolute security.
9. Your choices and rights
You can ask us to tell you what personal information we hold about you, correct it, or delete it. You can opt out of marketing emails with the unsubscribe link, and out of texts by replying STOP. If you live in California, you have the right to know what personal information we collect, use, and disclose, to request deletion or correction, and to be free from discrimination for using these rights. We don't sell or share personal information for cross-context behavioral advertising. To make a request, email thegrandvenuenevents@gmail.com. We may need to verify your identity before acting on it.
10. Children
Our services are meant for adults planning events. We don't knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we'll delete it.
11. Changes to this policy
We may update this policy from time to time. The effective date above shows the latest version.
